All-in-One TeamSnap Solution Helps Showcase Baseball of TN Hit a Home Run in Time Savings

Located just outside of Nashville, Tennessee is Franklin, a city full of history as a key site of the American Civil War and home to the travel baseball club Showcase Baseball of TN (SBT).

Now entering their tenth season, this seasoned sports organization and nonprofit currently fields 18 teams for kids ages 8 through 17, and prides themselves on their unwavering emphasis on player development.

“Being the only non-profit travel organization in the area allows us to provide a great deal of amenities for our players and families. Because our board is entirely volunteer, 100% of the club dues and fees goes back to the players.”

Running a baseball club is no small feat for their volunteer board of directors, with year round training and a dedication to delivering exceptional experiences to the over 200 kids in their program, they are a busy group!

Their goal, according to secretary Lance Wascom, is to provide the best baseball experience possible for their members, while maintaining efficiency behind the scenes. When it comes to managing their club, the need for simplicity and time savings is paramount, “We all have full time jobs, kids and a very busy schedule but we do this because we love it,” says Lance.

The need for consolidation

When Lance joined the board back in 2017, SBT was using a variety of softwares to manage their club and he found it difficult to keep track of everything. The multitude of softwares they used was overwhelming.

“We used HomeTeamsOnline for our website, Blue Sombrero for fees and registration, various programs for team management and various mass email programs to reach all our members. Using multiple platforms created challenges, not the least of which is understanding the backend of each platform.”

Recognizing an opportunity for SBT to optimize the logistical side of running a sports organization by migrating to a single solution, Lance dove in headfirst. He knew they needed a club management software that would provide them with mass communication, easy to understand payment collection and tracking, centralized scheduling and all the small but mighty communication features coaches and parents needed to stay organized.

Lance did his homework and began researching club management softwares and incidentally, TeamSnap for Clubs & Leagues was at the top of his list.

“After researching the club and league plans TeamSnap offered, it seemed like the perfect solution to consolidate multiple platforms into a single, unified system to manage our organization. It was always outstanding at the team level so I had a high opinion of TeamSnap already and after a few tutorials, I was convinced that it would be a great asset for us.”

SBT’s transition to TeamSnap was, “nearly flawless. There was a small learning curve and some nuances to adjust to but overall it was extremely smooth,” according to Lance. They hit the ground running and within a few weeks had transitioned their whole organization over, were running online registration and had launched a brand new website for their club using TeamSnap’s Website Builder add-on.

Lance and the rest of Showcase Baseball of TN embraced TeamSnap, utilizing as many features as possible within the TeamSnap for Clubs & Leagues platform.

“We utilize the registration for tryouts when the season begins, and again to register players onto their individual teams which allows us to build custom pricing for each team each season. TeamSnap allows us to push out league-wide events to all teams, and communicate with some or all of our teams in one place. And of course each team is set up with TeamSnap now with the club and league package, so our coaches can manage their teams and players accordingly.”

As Lance can attest to, consolidating from multiple softwares and apps to having everything under one roof made their administrators more efficient, and more importantly, it helped them find more time.

“When you consider the time savings of having the ability to do everything under one platform it’s a no brainer. Time is money, and even if there is a small cost delta, the amount of time and energy it’s going to save you is worth its weight in gold.”

“Our controller will match our payments received to our bank statements to reconcile our finances, our president can communicate to players and families, our coaching director can access all of our teams in one place and ensure players are rostered to teams correctly, while our coaches, parents and players use TeamSnap to regularly post schedules, communicate and determine player availability,” says Lance.

What’s next?

The future looks bright for Showcase Baseball of TN, and the time they’ve saved organizing and managing the club has allowed them to better focus their efforts on player development. Showcase has supplemented player amenities by adding technology from Blast and Rapsodo (to their indoor facility), renewing their long-standing partnership with Wilson, and adding SportsRecruits subscriptions for their high school age athletes who aspire to play collegiately.
